I’ve been in business in Sydney’s Inner West since 1999. Receipting rent, checking leases, condition reports, arrears and following up issues are all part of running an agency. Each job needs attention, and I’m the one who has to be across it.

Now I work with Karla, my Fulcrum Cortex assistant, from my mobile phone every day. I send her my phone walk-through videos and she builds the NSW ingoing condition reports, with reports going to tenants the same day. Tenant payments are receipted the same day too, and the trust account is matched to the bank to the cent.

She caught a commercial lease being billed about $1,049 a month below the signed lease. Across the whole rent roll, she found missing agency agreements and fee mismatches, identifying $26k–$68k a year in extra income. She also built our commission and letting-fee register since July 2025 — $236,991.78 — and loaded it into the CRM.

For me, it’s about having the work prepared and the details checked. Karla handles arrears, strata, utility and insurance issues, but every email and SMS comes to me for approval. She remembers my rules and logs everything. I still make the decisions, and nothing goes out without my OK.

I can ask Evie, my Fulcrum Cortex agent, for Australian independent hotels targeting Japanese travellers. That same day, I had 29 companies in Excel. Each included its HQ, size, Japanese-market evidence and a rating of how dated its booking system was.

On 27 October 2026, a request became a live, password-protected proposal page with 24-hour access, plus a public ROI calculator. It had the property name, AUD and yen side by side, and an email-results button that also created the contact in the CRM.

Webinar sign-ups get confirmation emails within about two minutes. On calling days, my call-results report arrives automatically at 6pm.

Texts use my wording and go at the time I choose. When a prospect emailed first, I sent one message to cancel the scheduled text. Nothing was sent.

Nothing goes to a prospect or onto the live website without my OK. Opt-outs are honoured straight away. Calls run only on weekdays in business hours, with a lunch break. Every SMS reply is drafted for me to approve. Those are my rules for how the work runs.

I’m a hands-on founder, but I’m not a developer. Before this, every tech change meant needing someone who could build it. Even preparing lyrics meant downloading a video, getting ChatGPT to make a timing file, then importing it.

Now I’m building and running RiideStar myself with my Cortex agent. I tell it what I want from my mobile phone. Sometimes it’s one line. Sometimes it’s a photo of something I’ve spotted on the tablet. It builds the change, deploys it and reports back the same day.

It built the admin site where I manage songs, prices, promos and analytics myself. Real payments have been live since July. There’s an installable web-app version of the kiosk alongside the Android app, with an automated deploy pipeline and separate switches for each. Lyrics are handled automatically too. They’re one part of the whole thing.

When a security review found problems in the app, the fixes were deployed the same day.

This is a live pilot in one car on the Gold Coast. I approve anything outward-facing and correct the wording when it overstates that. I can hide or reveal what riders see. I’m making the decisions and building the business. Cortex handles the code with me.

Before I had my assistant, evenings and weekends went into billing, notes and chasing details. I was moving between emails, portals and spreadsheets. As a sole practitioner, that work came back to me.

Now I send a quick voice note or a photo from my mobile phone. Fulcrum Cortex turns it into admin I can review: invoices with linked progress notes, calendar bookings, client file set-up and emails. Call recordings become progress notes. Each evening, it reminds me which draft invoices are due.

New-client packs come prefilled from the NDIS plan. The service agreement, schedule of supports and consent forms are ready to send that evening. It also checks for completed work that hasn’t been billed, catches missing invoice line items and prepares bulk-claim files for the NDIS portal.

I still see the exact draft first. Nothing goes to a client or third party without my explicit OK. Every email has a 60-second undo window. Client notifications stay switched off unless I approve them.

Invoices, linked notes and service agreements are kept audit-ready, so I can answer an NDIA payment-assurance request quickly. If something is wrong, I correct it and the assistant remembers. The admin happens in the gaps of my day. I spend my energy on clients.
