Run your business from Telegram with an AI assistant: a practical set-up

A Telegram AI assistant for business works best as a bot inside one group split into topics — one per area of work — with privacy settings chosen deliberately, voice notes and files as instructions, and approvals in the same thread.

Telegram is one of the best chat apps for working with an AI agent day to day. It has a mature bot platform, lets you split a group into topics so each area of work gets its own thread, handles voice notes and documents well and is free. The set-up that works for most small businesses is one group with topics, the agent added as a bot, a pinned set of house rules and approvals answered in the thread.

This guide walks through that set-up step by step. If you haven’t settled on Telegram yet, our comparison of Telegram, WhatsApp, Slack and Discord covers the trade-offs, and the wider approach is in running your business from chat.

Why Telegram suits an AI assistant

  • Bots are first-class. Telegram’s Bot API is designed for exactly this, and bots can work in private chats and groups.
  • Topics. A group can be divided into topics that each have their own chat history, shared media and notification settings, per Telegram’s announcement.
  • Room to grow. Groups can have up to 200,000 members, according to the Telegram FAQ.
  • Rich inputs. Voice notes, photos, documents and video all arrive as messages the agent can work with.
  • Multi-device. The same account works on phone, desktop and web, so you can approve on the go and review at a desk.

Setting up a Telegram AI assistant for business, step by step

  1. Decide whose account owns the group. Use the business owner’s account, or a dedicated business account, so the group survives staff changes. Make at least two trusted people admins.
  2. Create one group for the business and turn on topics in the group settings.
  3. Create topics per area of work, not per person: for example Daily report, Rentals, Accounts, Sales, Jobs. Add a General topic for anything else.
  4. Add the agent’s bot to the group, and decide whether it is an admin (see privacy mode below).
  5. Pin the house rules in General: what needs approval, who can approve, what never goes in chat.
  6. Set notifications per topic. Leave Daily report and approvals loud; mute busy topics you only check.
  7. Connect systems narrowly — the inbox, folders and CRM views the first tasks need.
  8. Run a test task in one topic: a piece of research or a set of draft replies.
Example topic layout for a small property management business
TopicWhat goes thereNotifications
Daily reportThe agent’s morning exception report onlyOn
ApprovalsAnything waiting for an OK, one item per messageOn
RentalsTenant matters, inspections, maintenance photosMentions only
AccountsReceipting, arrears, supplier invoicesMentions only
LeasingEnquiries, applications, listing draftsMuted, checked twice a day
GeneralHouse rules (pinned), everything elseMuted

A separate Approvals topic is optional. Some owners prefer approvals to appear in the topic where the work lives, so the context is right there. Try both for a week and keep whichever you actually answer faster.

Bot privacy mode: what the agent can see

This is the setting most people don’t know exists. According to Telegram’s bot documentation, privacy mode is enabled by default for bots in groups. In privacy mode a bot sees only messages that are relevant to it — commands, messages that mention it and replies to its own messages — while bots added to a group as admins receive all messages. If privacy mode is changed, the bot has to be re-added to the group for the change to take effect.

That gives you a real choice, and each option has a cost:

  • Agent as admin, sees everything. It has full context for every topic and can pick up “can someone book the plumber?” without being mentioned. Make sure everyone in the group knows the agent reads all messages.
  • Agent not an admin, privacy mode on. It only acts when mentioned or replied to. Safer in mixed groups with contractors, but you lose ambient context and must remember to address it.

Our default: in a group of your own staff, make the agent an admin and say so in the pinned rules. In any group that includes outsiders, keep privacy mode on or, better, keep the agent out and run a separate internal group. We go deeper on mixed groups in AI agents in group chats.

Voice notes, photos and file limits

Telegram is excellent for instructing by voice. Hold the mic button, say what you need, and the agent replies with a short written brief before it acts. Our guide to turning voice notes into tasks has a simple structure for voice instructions and examples from site visits and driving.

For photos and documents, two practical tips. Send scans and documents as files rather than as photos, so they keep full resolution. And know the bot limits: on Telegram’s standard Bot API a bot can download files up to 20 MB and upload files up to 50 MB; a self-hosted Bot API server raises both limits, per Telegram’s bot features page. People can send much larger files to each other — up to 2 GB, or 4 GB with Premium — so a long walk-through video that plays fine for your colleague may be too big for a bot on the standard API. Ask your provider how they handle large files, or record in shorter clips.

Privacy and security settings to change on day one

  • Turn on two-step verification for every account in the group, under Privacy and Security. It adds a password on top of the SMS code.
  • Review active sessions under Devices and sign out anything you don’t recognise. Know how to do this from another device if a phone is lost.
  • Hide your phone number from people who aren’t your contacts, especially if contractors or clients join any group.
  • Lock the app with a passcode if your phone is shared or often left unlocked on site.

Understand the encryption model too. Telegram’s FAQ says cloud chats, including private chats and groups, use server-client encryption, with an additional end-to-end layer only in secret chats. Your agent works in cloud chats. That is a reasonable trade for features in internal operations, but it is another reason to keep health information, NDIS details, bank logins and identity documents in their proper systems rather than in the thread.

What working in the Telegram threads looks like

When Telegram isn’t the right channel

Telegram is the wrong choice if your team simply won’t install another app — a crew that lives in WhatsApp will keep using WhatsApp, and you’ll end up with two records. It is also not where most Australian customers expect to message a business, so treat it as an internal tool. If customers matter more than internal flexibility, read using WhatsApp with an AI assistant.

Cortex works in Telegram along with WhatsApp, Slack and Discord; the channels page shows how instructions, approvals and reports appear in each.

Frequently asked questions

Can I use Telegram for my business?

Yes. Many small businesses use Telegram groups with topics for internal work, and bots for automation and AI agents. It is free, works across phone and desktop, and groups can hold up to 200,000 members. Most Australian customers expect other channels, so it is best as an internal tool.

How do I add an AI bot to a Telegram group?

Open the group, choose to add members, search for the bot’s username and add it. Decide whether to make it an admin: admins receive all messages, while non-admin bots in privacy mode only see commands, mentions and replies to their own messages.

Are Telegram groups private enough for business?

Telegram groups use server-client encryption rather than end-to-end encryption, which is reserved for secret chats. That is generally reasonable for internal operations, but sensitive personal information should stay in your proper record systems rather than group threads.

What are Telegram topics?

Topics split one group into separate threads, each with its own history, shared media and notification settings. For a business, one topic per area of work keeps instructions and approvals organised without creating many separate groups.
